To Rent a Park Pavilion:

Call the Administrative Office at 259-3507 to see if the pavilion is available for the date the renter needs.

If it is available, the renter must come to the Administrative Office at 1901 North Forrest Street to fill out a contract and pay the fee. The office is located thru the back door of the front building.

Renter will receive a copy of the contract along with a receipt. They must take this copy and receipt with them to their event in case any one else tries to use the rented pavilion, so they can show proof of rental.

Contract to reserve a facility

 

To Rent a Facility:

Facility rentals come with the use of tables and chairs and a full kitchen with an ice machine.

A monitor will be assigned to arrive at the facility to open the building, adjust the air conditioning/heat at a comfortable level and check to make sure everything is in order for the renter.  The monitor will remain on the premises (out of the way) and be available if the renter has any questions. The monitor will remind the renter approximately 1 hour before the rental time is over that the renter will need to clean up and return tables and chairs to the storage area.

The renter will have to sign a before and after checklist provided by the monitor stating that they cleaned up after their event, in order to receive their deposit back. If the renter honors their contract, the deposit will be mailed by check and takes 4 to 6 weeks to receive.

 

 

Rentals of Facilities or Parks Involving Special Events or Large Groups:

The interested party must write a detailed letter of intent on Company Letter Head (No letter will be accepted without formal letterhead) and submit it to the Administrative Office at 1901 N. Forrest Street.

Any company wanting special rates based on NON - Profit, must submit a formal 501C - Tax Exempt form

bullet

All interested parties must complete an Application that will be on the line by the end of this week.

bullet

All applications for large venue events must be submitted at least two months prior to the event.

bullet

A meeting will be set up with the companies event director and the VLPRA Secretary.

bullet

If an organization meets all the above criteria and still wants to have fees waived or move into a Partnership Arrangement, they must place this request in writing and submit it to the Director for review. This letter must be received at least two weeks prior to the event.
